• How to write an explanatory note?

    How often do we hear this word since school age. Late - write an explanatory note, behaved badly - an explanatory note, and so on. After leaving the doors of the school, the same thing happens at the institute, and after graduating from it, having received a higher education, we get a job. However, the same thing awaits us here, in case of incorrectly performed work, being late or violating any rules.

    Let's figure it out what is explanatory. An explanatory note is a document obliging a person to explain a series of related reasons, the last of which will most likely be a negative outcome. The reasons why a person can submit such a document to an employer can be completely different, ranging from the fact that the employee was late for work, ending with the failure of a huge project.

    In fact, an employee can have a lot of reasons why he might be late for work, ranging from valid family circumstances, to the fact that “a black cat crossed the road, I stood and waited for someone to cross the street before me.” However, there is such a case when the explanatory text is just an accompanying text to a more main document, being a kind of introduction to the main document.

    Of course, the employer has the right to demand an explanatory note from the employee in case of non-compliance with the work rules established by him (according to the Labor Code).

    How to write an explanatory note

    This document must be made on an A4 sheet, and it is desirable that the text was typed on a computer, as the handwriting of some people may not be clear. The current Labor Code does not have a specific model for writing this document, but there are still some unspoken rules for writing explanatory notes.

    Such a document is written in the name of the director or general director of the organization. “Hat” is located in the upper right corner indicating the last name of the patronymic name of the head, the position of the employee and indicating his own full name.

    What are the consequences of the wrongdoing?

    • comment;
    • reprimand (strict reprimand);
    • deprivation of the award;
    • fine;
    • dismissal from work.

    The latter is fraught only in cases where the violation of discipline, labor order and other things is systematic, or the employee is in a state of alcoholic or drug intoxication, but only if this is recorded by a medical worker and an appropriate medical conclusion is made.

    In order for the note to be of a business nature, you need to try as logically as possible and without slang to state brief information or a number of reasons why you did not complete the project, were late for work or did not show up at all.

    Also, do not forget that lying in such things is not welcome. Firstly, it can only aggravate the employer's attitude to this situation, and secondly, it can open up. “Everything secret becomes clear,” which can lead to dismissal and other unpleasant events.

    Most often, the employee unquestioningly provides an explanatory note to his management. However, there are cases when the boss verbally asks the subordinate to provide a note, but the latter refuses to do so.

    In such cases, the legislation provides for an Act on refusal to provide an explanatory note.

    ACT on the failure to provide a written explanation by the employee (for the application of a disciplinary sanction)

    We, the undersigned

    have drawn up this act as follows:

    (full name, position, structural unit)

    in accordance with Part 1 of Article 193 of the Labor Code of the Russian Federation, it was proposed to provide a written explanation on the fact of violation of labor discipline by him.

    Until now, the specified written explanation by the employee has not

    presented.

    Thus, the employer has leverage over an employee who considers that he is not obliged to provide a document.

    The reasons, as well as the consequences, can be completely different.

    Thus, we can conclude that the explanatory note is narrative in nature, and in a single case of misconduct, in general, does not have any serious consequences for the employee. Although, there are still cases when a few explanatory notes can bring quite a few problems for an employee, since the systematic identification of misconduct becomes one of the reasons not to provide a promotion, or becomes a decisive factor when choosing a candidate for a layoff.
